Who is responsible

This notice covers the public website at fnb.utilize.gr. The application our customers log in to is governed by their contract with us and by a separate data processing agreement.

Cookies and visitor statistics

This site sets no cookies and stores nothing on your device. That is why you are not asked to accept anything on arrival: there is nothing to consent to.

We do count how many people read our pages, using Umami — open-source software running on our own server at analytics.fnb.utilize.gr. There is no Google Analytics, no advertising pixel and no third-party tool of any kind: the figures never leave our server and nobody outside this company sees them.

For each page view we record the page you looked at, the page or site you arrived from, your country and approximate region, your device type, browser, operating system, screen size and browser language. We also record when you click one of the main buttons — "Book a demo", the phone number, the e-mail address, sign in.

Your IP address is not stored anywhere. It is used only in the moment of the visit, to derive the country and an anonymous visit identifier, and then it is gone — the statistics database has no column for it.

We do not build visitor profiles, we do not know who you are, and we do not follow you across other websites: these statistics cover fnb.utilize.gr and nothing else. If your browser sends the Do Not Track signal, nothing at all is recorded.

Beyond that, the site makes no requests to third-party servers. The webfonts and the measurement script are hosted here, on the same server, specifically so that your IP address is not disclosed to another provider merely because you read a page.

The demo request form

If you fill in the form on the contact page, you send us:

• Your company name and your own name
• An e-mail address and, optionally, a phone number
• Optionally, how many sites you operate, and your message
• Which language the form was in, so that we reply in the language you used

What is recorded automatically with your request

Your IP address, your browser's User-Agent string and a timestamp are recorded with the submission and included in the e-mail we receive. They exist solely to protect the form from automated abuse.

For the same reason the server keeps your IP address in memory for one hour in order to rate-limit submissions. It is not written to a database and it is lost on every restart.

Separately from the form, the server keeps an access log — IP address, requested URL, response time — for fourteen days, for security and fault diagnosis.

Legal basis

• For what you type into the form: Article 6(1)(b) GDPR — steps taken at your request before entering into a contract.
• For the IP address, User-Agent and server logs: Article 6(1)(f) GDPR — our legitimate interest in protecting the site from abuse and keeping it working.
• For the visitor statistics: Article 6(1)(f) GDPR — our legitimate interest in knowing which pages are read, so that we can improve the site. Because nothing is stored on your device and your IP address is not retained, your consent is not required; you can still object (see "Your rights") or switch on Do Not Track.

Who else sees it

Your request reaches us as e-mail. Sending and mailbox hosting run through Google (Google Workspace), acting as our processor, which may process data outside the EEA under the European Commission's Standard Contractual Clauses and the EU–US Data Privacy Framework.

No third party sees the visitor statistics: the software and its database sit on our own server, inside the EU.

We do not sell data and we do not pass it to third parties for their own purposes.

How long we keep it

• Server access logs: fourteen days.
• Visitor statistics: kept so that we can compare one period against another, with no fixed deletion date. They contain neither your IP address nor anything else that identifies you.
• IP address held in memory for rate limiting: one hour.
• The e-mail carrying your request: for as long as we are in contact and, if we go on to work together, for as long as that relationship and our tax obligations require. You can ask us to delete it at any time.

Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and objection. Write to info@utilize.gr and we will respond within one month.

If you believe we have handled your data badly, you may complain to the Hellenic Data Protection Authority (1-3 Kifisias Ave, 115 23 Athens, Greece, www.dpa.gr).

Automated decision-making

We make no automated decisions about you and we do not categorise you based on how you use this site.
